Stop chasing clients for documents
We automate onboarding, document collection, engagement letters and reminders for CPA and bookkeeping firms, so your team spends its time on the work clients pay for.
Where accounting practices lose time
Document chasing
The same reminder email goes out again and again, usually by the person who should be doing the return.
Slow starts
Between "yes, we will hire you" and "your work has started", new clients wait for engagement letters and paperwork.
Unpaid invoices
Following up on a late invoice feels awkward, so it gets postponed.
What we build for accounting firms
Each workflow is built on its own, so you can start with one and add more later.
Client onboarding
- Today
- Engagement letter, questionnaire and welcome email are prepared by hand for each new client.
- With 4done
- One trigger sends the letter for e-signature, the questionnaire and the welcome message, then creates the client record.
Document collection
- Today
- Clients email documents in pieces. Staff track what is missing in a spreadsheet.
- With 4done
- Each client gets a checklist and a secure upload place. A dashboard shows what is received and what is outstanding.
Reminders and deadlines
- Today
- Follow-ups depend on whoever remembers.
- With 4done
- Scheduled reminders go to clients, and your team sees one list of clients who are blocking a deadline.
Invoice follow-up
- Today
- Late invoices are chased when someone finds time.
- With 4done
- Friendly reminders go out on a schedule you set, and accounts that stay open are flagged for a personal call.
Recurring client reports
- Today
- Monthly summaries are assembled by copying numbers between tools.
- With 4done
- Figures are pulled from your accounting system into a standard template for a person to review and send.
Client data handled with care
Automation should lower risk, not add it. This is how we work.
- Our default is to keep sensitive identifiers such as Social Security numbers inside your portal or accounting system, not in new tools.
- We work inside accounts you own, with the least access needed, and remove our access when the project ends.
- People review anything that reaches a client or a tax authority. Automation prepares and reminds, it does not file.
- We are a technology provider and do not give tax or accounting advice. Your firm stays responsible for its professional obligations.
How a project runs
Free call
You describe the task. We ask what tools you use and what must never go wrong.
Fixed quote
A written scope, price and timeline. No hourly surprises.
Build and test
We build in your accounts and test with sample data. You review before anything goes live.
Handover
Documentation, a walkthrough and, if you want it, a monthly care plan.
Questions we hear
We already use a client portal. Do we need another one?
Usually not. We connect the portal you have to your onboarding and reminders. If it lacks something, we say so and suggest the smallest fix.
Can this work with our accounting and workflow software?
Where the tools have integrations, an API or exports, yes. Tell us what you use on the call and we confirm before quoting.
We are a three-person firm. Is this for us?
Small firms often gain the most because there is no admin team to take over document chasing. We start with one workflow and keep it simple.
Do you store our clients’ tax documents?
No. Documents stay in your portal or storage. We build the process around it.
What does it cost?
A fixed price after a free call. See the pricing page for how packages work.
